Conduct & Content Policy
1. Purpose and scope
This Conduct & Content Policy explains the standards that apply when you use COLEUS Rooms.
It applies to all users, including experts and clients, and to content or activity created, uploaded, transmitted, displayed, or processed through COLEUS Rooms, including:
- account and profile content;
- session descriptions and agreed service scope;
- Dialogue messages and voice messages;
- Sources, links, files, documents, and transcripts;
- conference communications and conference-derived content;
- Solo, Context, Studio, Library, drafts, Q-reports, reviews, and artifacts;
- AI-assisted prompts, outputs, translations, summaries, and analyses; and
- connected email, Telegram, WhatsApp, conferencing, or other supported channels.
This Policy supplements the COLEUS Rooms Terms of Use. If a feature has a more specific safety, privacy, verification, or professional-practice rule, the more specific rule also applies.
2. Core standards
Users must:
- communicate respectfully and in good faith;
- provide accurate information about identity, role, authority, qualifications, and services;
- stay within the confirmed service scope of a client session;
- use only content and data they are authorized to use;
- protect confidential and personal information;
- review AI-assisted material before relying on it or sharing it;
- comply with applicable law, professional duties, and platform notices; and
- cooperate with proportionate safety, verification, or review requests.
Disagreement, criticism, and robust professional discussion are permitted. They must not become harassment, threats, intimidation, discriminatory abuse, or deliberate disruption.
3. Harassment, threats, exploitation, and abusive conduct
You must not use COLEUS Rooms to:
- harass, stalk, threaten, intimidate, humiliate, or repeatedly target another person;
- promote or direct hateful or discriminatory abuse based on protected or personal characteristics;
- sexually exploit, coerce, groom, or abuse another person;
- publish or solicit private identifying information for harassment, retaliation, or intimidation;
- impersonate another person or create a misleading identity or affiliation;
- manipulate, pressure, or deceive another user in a manner likely to cause material harm; or
- interfere with another person’s ability to use the Service safely.
Context matters. COLEUS Systems, Inc. may distinguish between a quotation, educational discussion, evidence submitted for review, and content used to target or harm another person.
4. Illegal, dangerous, fraudulent, or malicious assistance
You must not use COLEUS Rooms to request, provide, facilitate, or conceal:
- unlawful conduct or evasion of lawful restrictions;
- fraud, theft, extortion, bribery, deceptive schemes, or forged evidence;
- malicious software, credential theft, unauthorized access, destructive cyber activity, or covert surveillance;
- instructions intended to cause serious physical injury, poisoning, unlawful weapons activity, or other grave harm;
- exploitation of vulnerable persons;
- obstruction of an investigation, destruction or falsification of records, or evasion of platform safeguards;
- false emergency, medical, legal, financial, or professional claims likely to create serious risk; or
- any activity prohibited by the Terms of Use or applicable law.
COLEUS Rooms is not an emergency or crisis service. In an emergency, contact the appropriate local emergency service or qualified professional.
5. Identity, credentials, and professional service boundaries
You must not:
- misrepresent your identity, organization, professional title, credential, registration, jurisdiction, or authority;
- claim that COLEUS Systems, Inc. has certified, recommended, approved, or guaranteed you;
- use a credential indicator outside its stated factual meaning;
- offer or provide a professional or regulated service that is locked, marked Coming soon, Not yet supported, or otherwise unavailable;
- provide a service outside the client-confirmed session scope;
- bypass identity, credential, jurisdiction, location, consent, or compliance controls; or
- ask another user to help you evade those controls.
A verified identity or credential record does not by itself establish authority to provide every service, in every jurisdiction, for every client or matter.
6. Privacy, confidentiality, and personal information
You must not upload, disclose, or process personal, confidential, privileged, proprietary, or regulated information unless you have authority to do so and the selected feature is appropriate for that information.
You must not:
- disclose another person’s private information without authorization;
- use identity, credential, location, financial, legal, medical, mental-health, or other sensitive information for an unrelated purpose;
- attempt to access private reviewer notes, security signals, credentials, or records belonging to another person;
- place secrets, access tokens, passwords, or private keys in ordinary content fields; or
- use external channels or AI providers for sensitive information when the feature or policy does not permit that processing.
COLEUS Rooms may restrict AI processing, context use, sharing, or delivery when content contains sensitive or regulated information.
7. Sources, files, transcripts, and AI-assisted outputs
You are responsible for content you submit and for determining whether you have the necessary rights and permissions.
You must not:
- upload malware or malicious files;
- submit fabricated evidence as authentic;
- misrepresent an AI-generated or edited output as independently verified;
- conceal material AI involvement where disclosure is required by law, professional duty, contract, or the Service;
- use AI output without appropriate human review for a high-impact decision;
- treat an unassessed Source or AI output as approved merely because the Service stored or generated it; or
- use a task-only, excluded, quarantined, restricted, or private item outside its permitted role.
AI-assisted outputs may be incomplete, incorrect, biased, outdated, or unsuitable. The expert or user who adopts or shares an output remains responsible for its use.
8. Integrity of records, artifacts, signatures, and timestamps
You must not falsify, alter, or misuse:
- policy acceptance evidence;
- verification records;
- session-scope confirmations;
- moderation or complaint records;
- artifact hashes, attestations, signatures, timestamps, provenance, or version history;
- audit logs; or
- another person’s authorship or approval.
A hash, attestation, signature, or timestamp may establish integrity, authorship-related facts, or existence of a specific version at a particular time. It does not by itself establish that the content is accurate, lawful, professionally valid, or suitable.
9. Platform checks and review
Messages, Sources, files, transcripts, AI-assisted outputs, artifacts, and related metadata may be checked or reviewed for:
- safety and security;
- fraud and abuse prevention;
- compliance with this Policy and the Terms;
- service-scope and feature eligibility;
- protection of users and confidential information; and
- platform integrity.
Checks may be automated, rule-based, model-assisted, or performed by an authorized reviewer. Not every object is reviewed before delivery, and the absence of a warning does not mean that content is safe, accurate, lawful, or approved.
Where appropriate, COLEUS Rooms may preserve the original object and create a separate warning, restricted projection, redacted view, placeholder, or review record rather than silently rewriting the original content.
10. Enforcement
Depending on the nature, severity, repetition, intent, and risk of a violation, COLEUS Systems, Inc. may:
- allow content with a warning;
- require revision or clarification;
- restrict use of a Source, message, file, output, or artifact;
- hold content for review;
- prevent client-facing delivery or external AI processing;
- require service-scope reclassification or additional verification;
- remove public visibility;
- restrict specific client-facing or paid functions;
- temporarily suspend an account;
- terminate an account; or
- preserve and disclose information where lawfully required.
A single uncertain automated result should not ordinarily produce permanent account termination without appropriate review. Immediate protective action may be taken where necessary for safety, security, fraud prevention, confidentiality, or legal compliance.
Restrictions on client-facing functions do not automatically erase the user’s materials. Account continuity, export, deletion, appeal, and retention are handled under the Terms, Privacy Policy, and Account & Data Deletion Notice.
11. Reports, review, and appeals
When reporting or appeal features are available, users may report suspected violations or request review of a restriction. Users may also contact:

COLEUS Systems, Inc. may request additional information, preserve relevant evidence, and limit disclosure of internal security, reviewer, anti-fraud, or third-party information.
Submitting a false, retaliatory, or abusive report is itself a violation of this Policy.
12. Changes and contact
We may update this Policy as the Service, risks, laws, or moderation capabilities change. A new material version will receive a new immutable version identifier and effective date. Where required, users will be asked to accept the new version.
